Minutes – December 22nd, 2020

CHAMBER/MAIN STREET BOARD MEETING

December 22, 2020 – 7:00 a.m.

 

Present: Jason Knox, Jamie Hoey, Tiffany Johansen, Rick Trumm, Tracy Johnson, Mallory Hanson (virtual), Chris DeBack

Guests:

Absent: Kennon Gumm, Garrett Crandall

 

Jason called the meeting to order at 7:15 a.m.

2020 Plan of Action

Board reviewed the Plan of Action sent by Jamie and no changes were made. Tiffany motioned; Chris seconded; all approved to pass 2020 Plan of Action. This will be submitted to MSI.

2021 Strategic Plans & Plan of Action

After reviewing the plan Jamie sent, Jason motioned; Rick seconded; and it was approved by all. Would like to incorporate a West Union video with photos, video, etc.  This will be submitted to MSI.

2020 Finance Review

This will be coming from Jason. Jamie needs it by January 1st for MSI Accreditation. A Profit/Loss Template for events was shared by Tiffany. This is a fillable spreadsheet that Tiffany will send to the Board to use for all events. Can use Redtail for document sharing and event updates? Jason will do a Redtail training for the Board at the January work session. Can we get a 50-65” smart tv for the Chamber instead of the Projector? The Board will equally split the cost. Jason will order the TV and mount and let the Board know what is owed. This can be used for an in-kind donation for personal membership.  Going forward, the Chamber will pay 20% more to purchase something locally.

2021 Proposed Budget

This will be coming from Jason. Jamie needs it by January 1st for MSI Accreditation.

Membership Drive & Business Benefits

During the business visits for Chamber Bucks, some businesses stated there wasn’t follow through from the Chamber. We need to get the membership letter out ASAP. Rita (Knox) is working on the letter and it will get sent out to Chamber members. Tiffany will share the business list to the Board to allow updates to be made. Tiffany will then send out the letters. Once hired, we will take the Director out to do visits. A quarterly letter will be sent to those businesses who don’t sign up. Chris will make the certificate. This year we will do a Director/Board member touchpoint with businesses and then going forward, we can send an invoice/certificate to current members.

Chris and Tracy will be at Pleggenkuhl Ribbon Cutting. Erin from Pleggenkuhl has offered to volunteer for the Chamber. Jamie shared great feedback on the social media account. Way to go Tracy! Business Chamber Buck visits went well. Jason checked with MSI on Chamber Bucks. We can add “Please use by…” date. By the third year, you could pay back the person who purchases. You can also do depreciation with the Chamber Bucks stating “if not used within 3 years, it is a donation to the Chamber”.  Tiffany will put together a draft policy.

 

 

Spark Program

A project would be a video for West Union. Jamie will attend for the Chamber if possible, based on the date.

Hiring Committee

We are interviewing three candidates and heard nothing back from previous candidates. January 4th is the City Council meeting, so the Board will need to do second interviews next Monday or Tuesday to provide time to give a recommendation to the City.

Motion by Jamie to adjourn at 8:15 a.m.; Rick seconded it; adjourned.
